Privacy Policy

What we collect and why

Two kinds of data reach us: what you type into a form or an email, and the routine technical record every web server keeps. They are processed for different reasons and kept for different lengths of time.

Information you give us

When you use the contact form or write to us directly, we receive the details you provide: your name, your email address, a phone number if you include one, and the content of your message. If your enquiry concerns a specific day-care centre or a place allocation question, your message may also mention a child's name and age — please share only what is needed to answer you.

Technical access data

When you simply read pages here, the hosting infrastructure may process standard server data: IP address, browser type and version, operating system, the page requested and the time of the request. This is the ordinary record of a web server, not a profile of you as a person.

Answering your enquiry

Contact data is processed so that we can reply and keep the conversation going. In practice that means routing your message to the person responsible for that Kita or that topic, and keeping a record of the correspondence so that a colleague can pick it up if the first contact is away.

Running the site securely

Technical access data is processed to keep the website available and to notice faults or misuse — a server error, an overloaded page, an attempt to break in. We do not use it to build advertising profiles, and we do not combine it with your contact details.

Where consent is the basis for processing, you may withdraw it at any time. Everything else rests on your request and on our legitimate interest in answering it.

Legal basis for processing

Legal basis

Contact data is processed because you asked us to answer you, and because we have a legitimate interest in responding to enquiries about our day-care centres and their management. Where we ask for your consent for a specific step, that consent is the basis, and you can take it back later without giving a reason.

Technical access data is processed on the basis of our legitimate interest in operating a secure and functional website. That interest covers availability, fault diagnosis and defence against misuse. It does not cover marketing use, and no advertising profile is built from it.

Retention

Contact enquiries are kept for as long as the matter is being handled and for the period that documentation duties require afterwards. Technical server logs are held for a limited time and then deleted or anonymised. We do not keep personal data longer than the purposes described on this page need it.

If you would like to know whether a particular message from you is still on file, ask the data protection contact and we will check the record for you.

Your rights

You can use any of the following rights by writing to [email protected]. Say what you would like us to do and, where you can, which enquiry or message it concerns — that makes it faster to find the right record.

Access

Ask for confirmation of whether we hold personal data about you, and for a copy of what is stored.

Correction

Have inaccurate details put right — a misspelled name, an old phone number, a wrong email address.

Deletion

Request deletion of your data where the legal conditions are met. Where a documentation duty still applies, we will explain why the record has to stay.

Restriction and objection

Ask us to limit how your data is used, or object to a processing step that rests on our legitimate interest.

Data portability

Where the legal conditions apply, receive the data you gave us in a structured, commonly used format, or have it passed on to another controller.

Cookies and third parties

This website uses cookies only as described in our cookie policy, which sets out which categories exist and how you can change your choice. We do not sell personal data, and we do not pass contact details to third parties for advertising purposes.

Where external services are used to operate the site, they process data on our behalf and under our instructions. That means they may not use it for their own purposes, and they must delete or return it when the arrangement ends.

Complaints

If you believe your data has been processed unlawfully, you have the right to lodge a complaint with a supervisory authority. The competent authority for North Rhine-Westphalia is the Landesbeauftragte für Datenschutz und Informationsfreiheit Nordrhein-Westfalen. You are welcome to contact us first — we will look at the matter and try to resolve it.

Reading this policy in practice

When does this policy change?

The policy is updated when the way we handle data changes — a new form on the site, a new service involved in operating it, or a change in the legal requirements. The version published here is the one that applies to your visit.

Does this policy cover the day-care centres themselves?

This page covers personal data collected through this website. Records kept at a day-care centre for the care of a child — enrolment documents, attendance, developmental notes — are handled under the information you receive from that centre, not under this web policy.

How long does a request take?

We answer access, correction, deletion, restriction and portability requests within the period the law allows. If a request needs more time because it is complex or several messages are involved, we tell you why and when to expect the answer.
